Square DIY Setup Guide | INFI

Square setup instructions from first login to post-sync troubleshooting.

This page turns the Square articles in the INFI support system into one do-it-yourself flow. Follow the steps in order, work through the checklist, and use the linked source articles whenever you need the original support reference.

Prep first

Make sure you have your INFI login credentials and clean Square categories before you authenticate.

Import by category

INFI syncs Square categories, so category naming and selection matter during import.

Resync later

Use the Square Integration sync flow again whenever the INFI menu falls behind Square.

Fix modifier locations

If an item will not import, the most common blocker is a modifier missing from that item’s sales location.

Get access and prep your Square menu

Where: Email inbox + Square Dashboard

Required

Start by confirming your login path and preparing the Square side correctly. The Square sync articles make clear that INFI pulls categories, not Square menus, so your category structure needs to be deliberate before you import.

Inference from the source dates: use the newer merchant portal authentication flow when available, but expect some older support articles to still reference the legacy INFI console URL.

Authenticate your INFI account with Square

Where: INFI Merchant Portal

Required

The current Square authentication article says to log into the INFI merchant portal, open POS Integration, click Authorize, sign into Square, grant the requested permissions, and choose the location you want to link.

If the wrong location gets linked here, the rest of the import and sync flow will be noisy and confusing.

Import your Square menu into INFI

Where: INFI Dashboard or Merchant Portal

Required

After authentication, the Square menu sync article says the Square Integration area should switch to Items Management (BETA). From there, import items from Square and select the categories you want to bring into INFI.

The import guide says to wait about 5 to 10 minutes after the import step before judging whether the first menu load is complete.

Resync when the INFI menu falls behind Square

Where: Square Integration > Item Management Beta

Required

If your menu later stops matching Square, the resync article says to reopen Square Integration, choose Item Management Beta, scroll down, and click Sync. After that, wait around 15 minutes before rechecking the menu.

This is the maintenance step to revisit after menu changes on Square.

Know what to edit in Square versus INFI

Where: Square Dashboard + INFI Dashboard

Required

The menu integration checklist is the rulebook for ongoing edits. For Square integrations, item names, prices, modifier names, modifier prices, and most delete actions should be done in Square so they sync back properly.

The same checklist shows a few areas that can still be adjusted in INFI, including max or min modifier selections, image uploads, and display order.

Tune display order and hide items when needed

Where: INFI Dashboard > Menu

Required

Once the core menu is synced, you can tune the kiosk presentation from the INFI side. The display-order article explains where to rearrange categories, items, modifier sets, and modifiers, and the hide-item article explains how to hide a menu item from the kiosk.

Both articles say visible changes take a few minutes to reach the kiosk, so do not assume an adjustment failed just because it is not instant.

Fix the most common Square import blocker

Where: Square Dashboard

Required

The “Square – Unable to Import Item” article explains a frequent failure mode: a Square item uses a modifier that is not enabled for the same sales location as the item. INFI will show the item but refuse to import it.

This is especially likely when one Square account has multiple locations and modifiers were not assigned consistently.

Optional: add INFI as an authorized rep for faster help

Where: Square Dashboard > Account Settings

This is not required for a DIY setup, but the authorized-rep article explains how to grant INFI access so implementation and support can help faster if you get stuck later.

Treat this phase as optional. If you want a pure self-service rollout, skip it.

When to stop and ask for help

Use support when the blockers are account-level, not setup-level.

Missing access

Stop and contact support if you cannot locate the INFI onboarding email or do not know which console login your team should use.

Account-level auth issues

If the Square authorization step fails or the wrong location was connected, support should verify the account linkage before you keep editing the menu.

Persistent import failures

If you fixed the modifier-location mismatch and items still refuse to import, send support the item name, Square location, and screenshots.
